Create and edit assets

Add new assets, update details, and control lifecycle state.

Use this workflow whenever a new item enters service or existing asset data changes.

Create a new asset

  1. Open Assets.
  2. Select the module the asset belongs to.
  3. Select Add asset.
  4. Fill required fields:
    • Display name
    • Lifecycle status
    • Module-specific required fields
  5. Fill recommended fields:
    • Asset code
    • Location
    • Last inspected date
  6. Select Save.

Edit an existing asset

  1. Open the asset row.
  2. Select Edit.
  3. Update changed values only.
  4. Save.

Archive vs delete

  • Archive: keeps history and hides from normal list views.
  • Delete: removes the active record from normal operations.

Use archive for normal lifecycle transitions. Use delete only when the record should not remain active.

Tips for better data quality

  • Keep naming format consistent across sites.
  • Always set location for field teams.
  • Keep asset code unique inside the module.
  • Use comments/notes only for context that belongs to the asset itself.
